The Wynwood Business Improvement District (BID) represents one of the most dynamic and creative neighborhoods in the country. Our mission is to enhance the district’s public realm, support local businesses, and position Wynwood as a global destination for art, innovation, and culture. Through public space management, policy advocacy, economic development, marketing, and events, the BID works to improve the quality of life and economic vitality of the area for all who live, work, and visit here.

Position Summary

The Operations & Administrative Assistant will play a critical role in ensuring the smooth and efficient day-to-day operations of the Wynwood BID office. This highly organized and detail-oriented individual will support the Executive Director and team with administrative duties, meeting coordination, office management, and basic bookkeeping tasks. The ideal candidate is proactive, professional, tech-savvy, and comfortable managing multiple priorities in a dynamic and creative work environment.

This position is ideal for someone looking to gain experience in urban planning, nonprofit management, public administration, or community-based work.

Key Responsibilities

Administrative Support

  • Provide general administrative support to the Executive Director and BID staff.
  • Schedule meetings, manage calendars, prepare agendas, and take meeting minutes.
  • Answer phones, respond to email inquiries, and serve as a point of contact for internal and external stakeholders.
  • Maintain and organize physical and digital files and records.

Operations & Office Management

  • Oversee day-to-day office operations, including distributing mail, ordering supplies, coordinating with vendors, and ensuring the office is well-maintained.
  • Assist in preparing materials for board and committee meetings, including printing, logistics, and document distribution.
  • Maintain contact lists, stakeholder databases, and subscription renewals.

Finance & Bookkeeping Support

  • Assist with invoice processing, vendor payments, and expense tracking in coordination with the BID’s bookkeeper.
  • Help compile financial documents for reporting and audits.
  • Track and record staff reimbursements and purchases.

Program & Project Support

  • Support Clean Team operations and payroll needs.
  • Compile district property code compliance violations for tracking and follow-up.
  • Support BID initiatives, events, and public realm projects as needed, including logistics, scheduling, attendance and follow-up.
  • Assist with data entry, research, and general coordination for BID policy development or programming.
  • Other duties as assigned

Qualifications

  • Associate’s or Bachelor’s degree preferred (or equivalent relevant experience).
  • 1–2 years of administrative or office management experience, ideally in a nonprofit, government, or small business setting.
  • Proficiency in Microsoft Office Suite, Google Workspace, and general comfort with digital tools and platforms.
  • Strong organizational, communication, and time management skills.
  • Ability to handle sensitive information with discretion and professionalism.
  • Detail-oriented, self-motivated, and eager to take initiative.
  • Familiarity with QuickBooks, project management tools (e.g., Asana, Monday), or CRM systems is a plus.
  • Interest in urban development, arts & culture, or community improvement is a plus.
  • Bilingual (Spanish) a plus.
